"Will an AI chatbot like that work for my café as well?" We get that question at least twenty times every week. In this overview we answer the twelve questions hospitality entrepreneurs most often ask about an AI chatbot for hospitality: from costs and integrations to GDPR, language and what happens if the bot does not know the answer.

The goal is that after reading you know exactly whether an AI chatbot fits your business, which questions the bot can and cannot handle, and how to go live within a few weeks without affecting the guest experience. The answers are based on hundreds of implementations at restaurants, hotels, cafés and caterers in the Netherlands and Belgium.

What exactly does an AI chatbot for hospitality do?

An AI chatbot for hospitality automatically answers guest questions via the channels you use: website, WhatsApp, Instagram, Messenger and optionally email. The bot knows your opening hours, menu, allergens, parking information, dress code, events and reservation rules. It can accept reservations, modify them and forward complex matters to a colleague.

Practical tip: let the bot observe conversations during the first two weeks without replying itself. This shows you exactly which questions your guests actually ask.

Does an AI chatbot for hospitality cost a lot or does it fit a small venue?

The deployment scales with the size of your venue. A one-person restaurant pays less than a hotel with 80 rooms, because the number of channels, conversation volume and integrations differ. For a current indication it is best to check the pricing page or request a custom quote via contact. The key point is that the time saved for your team, on average five to ten hours per week, almost always outweighs the monthly costs.

Which channels does an AI chatbot for hospitality support?

By default we connect the bot to at least:

For details about WhatsApp, read how a WhatsApp bot for hospitality automates messages.

Does the bot also work in English, German or French?

Yes. Modern language models automatically recognise the guest’s language and reply in the same language. By default we support Dutch, English, German, French and Spanish. For tourist cities or border-region hospitality businesses this is already enough to help almost every guest in their native language, which aligns with what Eurostat reports about language skills in the EU.

What if the AI chatbot for hospitality does not know the answer?

A good bot knows its limits. If the question is too complex, involves a complaint about a specific visit, or falls outside the script, the bot immediately escalates the conversation to a colleague via your dashboard or inbox. The guest experiences no disruption because the conversation continues in the same channel. For phone calls, our AI receptionist for restaurants handles a similar escalation.

What about GDPR and guest data?

An AI chatbot for hospitality processes personal data and therefore falls under the GDPR. In practice this means: a privacy statement the bot can refer to, data minimisation (only asking for what is necessary for the service), proper retention periods and a data processing agreement with your supplier. For the basic rules you can find a clear explanation at the Dutch Data Protection Authority. We include these contracts and logging as standard in every project.

Do I need to tell guests they are talking to AI?

Yes. The European AI Act requires transparency: guests must know they are chatting with an AI system, for example through a short opening line from the bot. This does not have to sound stiff; a friendly "Hi, I’m the digital host of Restaurant Olijfje, happy to help" is sufficient and even increases trust.

Which integrations with my systems are required?

For the best results we connect the bot to:

    • Your reservation system (such as Resengo, Formitable, Zenchef, TheFork).
    • Your till or POS for menu items and prices.
    • For hotels: your PMS, channel manager and possibly a revenue tool.
    • Your dashboard or CRM for escalations and conversation history.

Good news: in 90 per cent of cases these integrations work out of the box. For custom setups a specialist is always available.

Does an AI chatbot for hospitality really reduce no-shows?

Indirectly, yes. The bot makes it easier for guests to confirm, change or cancel reservations, especially via WhatsApp. According to knowledge compiled by Koninklijke Horeca Nederland, the biggest gains come from active confirmation moments shortly before the reservation, which is exactly what the bot facilitates.

How long does it take to implement an AI chatbot for hospitality?

In most cases between five and ten working days. We handle the training on your tone of voice and menu; you only provide opening hours, allergen information, a few example conversations and optionally a logo. For the WhatsApp connection itself, Meta is also involved, which can sometimes add a few days.

Can I determine the bot’s tone myself?

Yes. The bot is trained on your style. A Michelin-star restaurant in De Pijp writes differently from a brasserie in Maastricht, and that nuance is reflected in every message. You can supply your own examples, or we can run a short tone-of-voice workshop together during the set-up. In practice this already produces messages after a week that regular guests can hardly distinguish from those of a well-trained host, including the characteristic sign-off or house joke that belongs to your venue. Even difficult messages such as a declined reservation or a complaint about an upcoming busy evening are handled by the bot with the right warmth and clarity.

Does the AI chatbot also work together with human colleagues?

Absolutely. The bot operates 24/7 on the first line and passes any conversation that requires it to a colleague. Your staff can see all previous messages in a shared inbox, use templates and switch the conversation back to the bot once the request becomes standard again. Want to see the full stack?
