AI assistant for a restaurant: how it works in practice

The phone rings in the middle of lunch service. The inbox fills up with menu questions. And at a table sits a guest who has already been waiting five minutes for a bread board. Sound familiar. In almost every restaurant I visit, I hear the same frustration: there is always more demand than there are hands available.

An AI assistant restaurant is no longer a futuristic gadget. For more and more venues, it is simply a colleague behind the scenes. One that answers the phone, chat and email so your floor stays calm and no guest drops off because nobody picks up.

In this article I explain what an AI assistant for restaurants actually does, how it differs from an old-fashioned chatbot, what it delivers and how you can be live within a week. No marketing story, just what we see in practice with HorecaHub customers.

What exactly does an AI assistant for a restaurant do?

An AI assistant is a digital conversational partner trained on your venue. It knows your menu, opening hours, reservation policy and tone of voice. It talks with guests through the channels you already use: phone, website chat, WhatsApp, email and social media.

    Taking reservations without human intervention

The biggest time drain in almost every restaurant is the reservation phone. An AI assistant answers, recognises the intent ("can we come tonight with four people?"), checks real-time availability in your reservation system and places the booking. The guest immediately receives a confirmation via email or WhatsApp. If the requested time is full, the assistant suggests alternatives instead of turning the guest away.

Changes and cancellations go through the same line. The note next to the phone, the crossed-out names in the reservation book and the forgotten "I’ll call you tomorrow" moments disappear. Everything is immediately in your system, without double entry.

    Automatically answering frequently asked questions

A second large stream: questions about opening hours, parking, allergens, child-friendliness, group options and gift vouchers. Individually simple, but together they cost hours each week. The AI assistant knows the answers, provides them instantly and in the right tone, and only escalates what truly requires personal contact.

A good example can be seen in our guide about AI customer service in your restaurant: venues that automate this flow report that a large share of channel traffic is handled without staff intervention.

How does an AI assistant differ from a regular chatbot?

Many entrepreneurs tried a chatbot years ago and gave up. Often rightly so. The old generation worked with rigid choice menus: press 1, press 2, are you sure. An AI assistant is fundamentally built differently.

    Understanding context and multiple languages

Modern language models understand what a guest means, not just what they literally type. "Do you have space tomorrow evening around eight for four people?" is recognised as a reservation request with date, time and party size. At the same time the AI effortlessly switches between Dutch, English, German, French and Spanish. For venues in cities or tourist areas this is a game changer: international guests are helped in their own language, without extra multilingual staff.

Integration with your existing reservation system

A chatbot usually sends an email to your inbox and that is where it ends. An AI assistant restaurant actually writes directly into your reservation system, POS integration or CRM. At HorecaHub we work as standard with Formitable, Resengo, Zenchef, TheFork and several lesser-known systems. That direct connection prevents duplicate entry and human errors.

What does an AI assistant actually deliver for your restaurant?

This is where it becomes interesting, because technology is nice but results sell. In practice we see two types of gains with HorecaHub customers.

Time savings: on average 8 hours per week

In an average city restaurant, a large portion of phone calls and emails concern the same ten to fifteen questions. Together they quickly take up eight to ten hours per week spread across the team. An AI assistant handles the vast majority of these, giving your shift manager room again to focus on guests on the floor instead of holding a phone to their ear.

More reservations thanks to 24/7 availability

The second gain is revenue you previously left on the table. A significant share of reservation requests arrives outside opening hours: late in the evening, on closing days or in the morning before the venue opens. If nobody answers, many of those guests go to a competitor. An AI assistant is always on and handles every request.

Add peak hours to that. Between five and seven the phone rings non-stop in many venues. Reservations that end up on hold often drop off. An AI assistant can handle multiple conversations in parallel without anyone having to wait.

How do you implement an AI assistant in your restaurant?

The idea of “implementing AI” sounds big and intimidating to many owners. In practice it is manageable, as long as you approach it step by step.

From step 1 to live in 7 days

A typical HorecaHub process looks like this:

    1. Introduction and defining goals (day 1)
    2. Supplying your data: menu, opening hours, FAQ, reservation policy (day 2)
    3. Configuring integrations with telephony, chat and reservation system (day 3 to 4)
    4. Training and testing together with you and your team (day 5 to 6)
    5. Going live on the selected channels (day 7)

After that follows an optimisation period in which we review the first real conversations and fine-tune the assistant. So no big bang, but a quick start.

What do you need to get started?

Actually not that much. Your menu in digital form, a list of frequently asked questions, access to your reservation system and an idea of the tone of voice that suits your venue. On our page about AI in hospitality you can see exactly which information we request and how we handle privacy and GDPR.

You do not need your own IT department. We handle most things from Amsterdam and you only need to make time for the substantive part: how do you want your venue to sound when speaking with guests?

An AI assistant restaurant is not a replacement for your team. It is an extension. A digital colleague that handles the repetitive first line, so your people have room again for the things that remain human work: hospitality, atmosphere and the personal conversation at the table.

    Frequently asked questions

An AI assistant for a restaurant listens in on your phone, website chat, WhatsApp and mailbox. It understands natural language and responds based on your own menu, opening hours and reservation policy. Reservations are placed directly in your system, frequently asked questions are handled automatically and only truly complex conversations reach your team. For the guest it feels like a normal conversation with your venue.
