A guest who ate at your restaurant in January is not an anonymous row in a spreadsheet, and a hotel guest who stayed three nights last summer should not receive the same generic newsletter in their inbox as everyone else. AI marketing automation hospitality ensures the right message reaches the right guest, at the right time, through the right channel, without your marketing team having to assemble it manually.

According to overviews of AI in hospitality from Statista, personalised marketing is one of the most impactful applications of AI in the sector. And Koninklijke Horeca Nederland points to the growing need to activate returning guests in a market with tighter staffing and higher acquisition costs.

In this guide you will read how AI marketing automation for restaurants and hotels works, which flows deliver immediate value, how to properly comply with GDPR and the European AI Act, and what measurable results you can expect.

What is AI marketing automation hospitality?

AI marketing automation hospitality is the use of an AI system that automatically sends personalised messages via email, WhatsApp or SMS based on guest behaviour, reservations, preferences and seasonal data. Unlike traditional email marketing, the AI sends a different message to each guest and selects the best time to send it.

For the marketing manager this means less manual segmentation and fewer lists to manage. For the guest it means less noise in their inbox and offers that genuinely match their previous visit or preferences.

Practical tip: in the first month start with four flows that deliver immediate value (welcome email after the first visit, win-back after three months of silence, birthday invitation and seasonal menu announcement). Only expand to upsell, review invitations and loyalty campaigns once these flows exceed a 25 per cent open rate.

The six flows that deliver immediate value

In practice we see these six flows as the most important levers for repeat visits and revenue:

    1. Welcome flow after the first visit or first booking, with a personal thank-you message.
    2. Win-back flow for guests who have not visited for three to six months.
    3. Birthday flow with an attractive invitation in the week before or after the birthday.
    4. Seasonal and event flow when launching a new menu, a wine tasting or a themed weekend.
    5. Upsell flow for hotel guests with a breakfast package, spa access or late check-out.
    6. Review invitation one day after the visit or check-out, with a direct link to the appropriate platform.

What data does the AI need?

Good marketing automation is only as good as the data underneath it. We typically use five sources that together build a rich guest profile without requiring your marketing team to segment manually:

    • Reservations and visit frequency from your reservation system and PMS.
    • Spending behaviour from your till or POS system, at category level rather than individual item level.
    • Preferences such as table position, allergens, room category or vegetarian options.
    • Communication preferences for email, WhatsApp or SMS, with explicit opt-in.
    • Seasonal and event data from your restaurant or region for relevant timing.

GDPR and the European AI Act

Marketing automation involves personal data and in some cases behavioural data, so the rules are strict:

    • Under the European AI Act, personalised marketing must be transparent and the guest must be able to see why they receive a particular offer.
    • The Dutch Data Protection Authority requires explicit opt-in for marketing emails and an easy opt-out in every message.
    • For WhatsApp marketing the Meta policy applies, with opt-in via a previous conversation or a verified form on your website.

We handle this as standard during implementation, including European hosting, short retention periods and a clear preference page where guests can choose their own channels and frequency.

    Personalisation without becoming creepy

A personalised message is only valuable if it feels personal, not if it comes across as creepy. We follow three rules to maintain that balance:

    • Never refer to behaviour the guest has not consciously shared. Referring to a guest’s favourite wine works; referring to their exact arrival time in the car park does not.
    • Always provide context in the message. For example: "Because you chose our seasonal menu last time, we thought you might enjoy our new winter menu."
    • Make unsubscribing as easy as subscribing. A hidden opt-out damages trust and ultimately causes more harm than a missed send.

    Which KPIs should you track?

Marketing automation is only valuable if you can see what it delivers. For our clients we track six KPIs that together provide a full picture of engagement and revenue:

    • Open rate per flow and per channel.
    • Click-through rate to reservations, menu pages or bookings.
    • Conversion from message to actual reservation or upsell.
    • Repeat visits within three, six and twelve months.
    • Average spend of returning guests versus first-time visitors.
    • Opt-out rate as a quality indicator of message relevance.

We deliver these figures in a weekly report and review them together with your marketing or operations manager to fine-tune segments, timing or tone for your venue.

    Common mistakes during implementation

In the first few months we regularly see three mistakes. Activating too many flows too quickly, not offering a clear preference page, and relying too heavily on AI for marketing content without human final editing. The last point is particularly important: AI-generated texts that are not reviewed quickly feel generic and undermine the effect of personalisation.

Our AI customer service hospitality 2025 guide explores the guest-focused tone and the balance between automation and human contact in more detail. Start small, measure rigorously and only expand based on data.
